User Data
For users that register on this website, we also store the personal information they provide in their user profiles. All users can see, edit, or delete their personal information (except they cannot change their username). Website administrators can also see and edit that information. Your user profile will remain on our website indefinitely unless you choose to delete it.
Comment Data
We may opt to allow comments to be placed on our posts, articles, products, etc.
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

After approval of your comment, your profile picture is visible to the public in the context of your comment. Your comment will remain on our website indefinitely unless you choose to delete it.
Media Data
If you upload media to this website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. Your media will remain on our website indefinitely unless you choose to delete it.
Form Data
Our contact forms are used for legitimate business interests, such as business inquiries, general correspondence, and membership signups. Contact submitted through this form is delivered to our email address via a 3rd party SMTP service ensure email delivery.
This data is held indefinitely unless you ask us to remove it.
Anti-Spam
Visitor comments or contact form submissions may be checked through an automated spam detection service.
Some of our other alternative spam systems may log your IP address and ban you from using our forms or website if you are assessed to be a bot. If you think this is the case and you have a legitimate inquiry, please contact us with your message directly.
Analytic Data
To continually improve user experience on our website, we may make use of different usage monitoring services.
We use Google Analytics, a service that records website traffic and monitors. We do not collect any information from analytics that would allow us to personally identify individual users.
AI Helper Data
We provide an AI-powered chat assistant to help answer questions about the WNBF, rules & regulations, etc. When you use this chatbot, your questions and the responses provided are sent to and processed by OpenAI in order to generate a reply.
Chat messages: The questions you type into the chatbot are sent to OpenAI’s API for processing. We do not require you to submit personal information to use the chatbot, and you should avoid entering sensitive personal details into the chat.
Knowledge base (Vector Stores): To help the chatbot answer questions accurately, we have uploaded website content, such as our FAQs, policies, and event information, to OpenAI’s Vector Store service. This allows the chatbot to search and reference our own content when generating a response. This uploaded content is used only to inform the chatbot’s answers and is not personal data about you as a visitor.
Consent and compliance notice: Before using the chatbot, you may be shown a compliance message summarising how your conversation is handled. Continuing to use the chatbot confirms your acknowledgement of this.
Chat messages you send are shared with OpenAI, L.L.C., a third party AI service provider, solely for the purpose of generating a response. OpenAI’s use of this data is governed by their own privacy policy and API data usage terms, which state that data submitted via the API is not used to train their models by default. You can review OpenAI’s policies directly at openai.com/policies.
Chat conversations may be retained for a limited period to allow the chatbot to maintain context during your session and to help us improve the accuracy of the assistant. We do not use chatbot conversations for advertising or marketing purposes.
You are not required to use the AI chatbot to access information on our website, our FAQs and policies remain available in standard page form. If you have questions or concerns about your data being processed by the chatbot, please contact us.
